Setting Up the Integration
You'll need to be an admin user on Amiqus and a Company Admin user on TeamTailor to complete the set-up.
What You’ll Need
-
Amiqus Integration Enabled: Email support@amiqus.co to request this feature for your Amiqus account. You'll also need to activate the Amiqus integration in the TeamTailor Marketplace.
- New Recruitment Admin User in TeamTailor: Create a new user in TeamTailor with 'Recruitment Admin' permissions. You'll need the email address, password, and 2-factor authentication secret (underneath the QR code).
- TeamTailor API Key:
- Within your TeamTailor account, go to Settings>Integrations>API keys.
-
Click + New API Key (only accessible to Company Admins).
-
We suggest typing Amiqus Admin in the Name field. You'll need to set the API Scope to Admin and tick both the Read and Write boxes. Then click Create.
- The API Key is then generated and you'll need this later in the connection steps.
- TeamTailor Company UUID: This unique identifier is found in your TeamTailor URL after companies/ when you're logged in.
Connection Steps
- Once you have all the above, navigate to the Workflow>Team apps area of your Amiqus account (https://id.amiqus.co/team/workflow/apps)
-
Click Connect TeamTailor account.
-
You'll need to copy your External Trigger Token for the last step. Enter the rest of the information in the pop-up window and click Connect.
-
In TeamTailor, go to your Market Activations and next to Amiqus, click View settings. Paste your External Trigger Token and click Update.
Creating Templates
Before you can send requests, you'll need to have at least one Live request template set up in Amiqus, from which to select from. You can find information you need to create request templates in the following articles:
How you can customise your workflow
Workflow and Admin Overview Training Video
Please note that any messaging within your templates will be the same for all candidates; there are no dynamic fields within the messaging (eg for the candidates name).
Mandatory Fields
So that Amiqus is able to send the request, we require a full name and email address. If the full name isn't completed, you'll experience an error message when trying to send the request.
To ensure this doesn't happen, you are able to set the Name as mandatory in the Application>Personal Info section when creating a job on TeamTailor.
Sending Amiqus Requests in TeamTailor
You can send Amiqus requests to candidates either automatically through a trigger or manually.
Setting Up an Automatic Trigger
- In TeamTailor, go to Triggers (the magic wand icon) for the relevant recruitment stage.
- Select Add trigger.
-
Choose Submit Amiqus background check.
-
Select the specific background check template from your Amiqus account.
Now, whenever a candidate reaches this stage, an Amiqus request will be sent automatically. The following will then be displayed on their candidate card:
If you wish, you can choose to Move candidate when complete to automate the process further, just select this option and choose the stage you would like the candidate to be moved to.
Manually Sending Requests:
- Open the candidate's card.
-
Click the three-dots More option in the action bar and click Add integrations.
-
Select Submit Amiqus background check.
Let your candidates know to expect their request
You may want to let your candidates know that they will be getting an email from us. You are able to set up a Send message trigger, within the relevant stage in TeamTailor, to automate this.
If you also add a small delay to the Amiqus request trigger, you'll ensure they receive your email before the Amiqus request email. You'll find this setting under Additional options:
Setting up notifications
If you would like to receive notifications on the check status, we recommend assigning yourself and/or a colleague to the person and/or request in Amiqus, that way you'll be notified when the candidate completes the request.
You can do this on an individual basis within each person or request, or you can set this up within a request template.
You can customise your notification settings at any time, choosing from in app and/or email notifications.
Check Results
Once the candidate has completed their request, they'll be marked as Ready for Review in Amiqus. Once you are happy with the check results, you will need to mark the request as Reviewed.
Once the check has been marked as Reviewed, the check status in TeamTailor will update to Completed.
Our Support Centre contains information about all check types including how to review the results. A few of the common check types have been listed below:
Photo ID Verification: Reviewing the Results
Photo ID Verification: Reviewing the Results - Right to Work
Automated Employment Referencing: Reviewing The Results
Amiqus Integration Workflow
After the integration is enabled, here's how the process works:
- Candidate Details Sent to Amiqus: When a trigger is activated or you manually send a request, TeamTailor sends the candidate's first name, last name, and email address to Amiqus. Make sure these fields are complete in TeamTailor.
- Candidate Receives Request: The candidate gets an email with check details based on the selected template.
- Candidate Completes Checks: The candidate completes the required checks online.
- Review Results: Mark the check as Reviewed once you are happy with the results.
- Teamtailor Updated: The check status is updated with the results and a link to view the full results on Amiqus.
